The Role:

The person appointed will be responsible for the provision of a customer-focused and efficient front-line reception service to patients, staff and visitors to the Clinic. The successful applicant will be of a professional appearance, articulate, confident and proactive with good communication and IT skills with a pleasant telephone manner.

This is a 12-month fixed term contract working 15 hours over 2 days per week

The Location:

Thames Valley Fertility (TVF) was established in 2017, and due to the passion, expertise and reputation of our team, has already grown into a leading fertility clinic. Providing treatment to both NHS and private patients, TVF performs approximately 400 fresh cycles and 400 frozen cycles per year. Offering a full suite of treatment and diagnostic services, including PGT. Conveniently located on the outskirts of Maidenhead, adjacent to junction 8/9 of the M4, there is ample free parking for staff and patients at the front of the building.


Key Responsibilities:

  • To provide a professional, friendly and efficient front-line reception service to patients, staff and visitors who make enquiries to the Unit in person, by telephone and email.

  • To provide general information and assistance to patients, visitors and staff

  • To offer and provide refreshments for patients if requested

  • To ensure the clinic is cleaned according to the cleaning schedule.

  • Raise and process patient prescriptions as required

  • Complete consultation lists and extract patient notes when required

  • Booking patients into treatments blocks, make scan and counselling appointments on the computer system

  • Issue receipts and refunds due to patients

  • Filing of medical notes, letters, test results and other correspondence

  • To perform routine office support duties

  • To maintain confidentiality at all times and adhere to the HFEA Code of Practice and Guidelines

  • A willingness to undertake any appropriate duties deemed by the Patient Support Manager to be part of the role of the receptionist

Job requirements

Qualifications and Experience:

  • GCSE English Language and Mathematics at grade C or above (or equivalent qualification).

  • Excellent communications skills (both verbal and written) and the ability to communicate with a wide variety of individuals.

  • Good knowledge of Microsoft Office particularly Word and Excel.

  • Aptitude for and interest in learning new computer applications.

  • Pleasant telephone manner ability to work effectively within a multidisciplinary team, empathetic approach to couples with fertility problems.

  • Basic account keeping skills

  • Ability to work on own initiative.

  • Friendly and approachable.

  • Attention to detail

  • Committed and effective team player

  • Willingness to learn.

Location: TFP Thames Valley Fertility - Maidenhead

Working Hours: 15

2 days per week

Salary: Competitive (Depending on experience)

Pension: Dual contribution pension scheme

Holiday Entitlement: 27 Days + Bank holidays pro rata
