The Role:
We are seeking a highly organised and detail-oriented Quality Associate to support the delivery of high-quality patient care through robust clinical governance, effective management of quality systems, and regulatory compliance. Working closely with the Quality Director, you will play a key role in managing incident reporting, overseeing audits, monitoring patient feedback and complaints, and maintaining contractual relationships with NHS partners.
This is a full time position 37.5 hours per week - This is 6 month fixed term contract
The Location:
Thames Valley Fertility (TVF) was established in 2017, and due to the passion, expertise and reputation of our team, has already grown into a leading fertility clinic. Providing treatment to both NHS and private patients, TVF performs approximately 400 fresh cycles and 400 frozen cycles per year. Offering a full suite of treatment and diagnostic services, including PGT. Conveniently located on the outskirts of Maidenhead, adjacent to junction 8/9 of the M4, there is ample free parking for staff and patients at the front of the building.
Job requirements
Key Responsibilities:
Support the Quality Director in delivering quality, risk, and governance strategies across the clinic and its satellite sites.
Assist in maintaining compliance with the HFEA licence and CQC regulations.
Help implement and monitor the Quality Management System (QMS), including the management of incidents, non-conformities, and corrective actions.
Coordinate and participate in internal and external audits, including documentation and follow-up actions.
Support the management of patient feedback and complaints, including investigation, documentation, and reporting.
Maintain and update quality documentation, including the quality manual and patient consent information.
Liaise with clinic teams to ensure accurate data entry and compliance with data protection regulations.
Monitor key quality indicators and produce regular performance and incident trend reports for senior management.
Help manage Third Party Agreements with external service providers.
Promote staff training and awareness in relation to the QMS, audits, and incident reporting systems (e.g. Q-Pulse).
Foster a culture of continuous improvement, collaboration, and open communication.
Qualifications and Experience:
Essential:
Degree or equivalent, and/or relevant experience in quality management or healthcare.
Recognised qualification or practical experience in quality systems and risk management.
Advanced IT skills, including proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
Desirable:
Quality Management Audit training.
Experience working with electronic Quality Management Systems (e.g. Q-Pulse).
Previous experience in a healthcare setting.
Familiarity with electronic patient record systems (e.g. IDEAs).
Other Requirements:
Excellent communication, problem-solving, and organisational skills.
Ability to maintain confidentiality and handle sensitive information with diplomacy.
Capable of working independently and collaboratively.
Right to work in the UK.
Satisfactory DBS check.
